On paper, that sounds efficient.
In reality, it can be one of the most expensive mistakes a taxpayer makes.
The federal R&D credit was not built around polished software output. It was built around qualified research expenses tied to real human activity: engineers, designers, developers, technical managers, and support personnel solving real technical problems through real experimentation. The IRS’s own guidance centers the credit on qualified services performed by people engaging in qualified research, directly supervising it, or directly supporting it.
That is the first thing many low-cost automated study vendors get wrong. They sell the study as though it is mainly a data-processing exercise. It is not. A defensible R&D credit study requires judgment about technical uncertainty, process of experimentation, business components, wage allocations, supervision, support activities, and substantiation. Those are not check-the-box decisions. They are fact-intensive decisions. The Real Question Is Not “What Does the Study Cost?”
The real question is: what is the net value of the result after scrutiny?
That is the comparison many taxpayers never make.
A cheap study can fail in two very different ways.
First, it can overstate the claim. Automated tools can over-qualify routine work, inflate wage percentages, rely on generic narratives, or tie expenses to projects without enough factual support. When that happens, the taxpayer may face repayment, interest, and potentially a 20% accuracy-related penalty if the IRS determines there was negligence or a substantial understatement. The IRS states that the accuracy-related penalty is generally 20% of the portion of the underpayment attributable to negligence, disregard of rules, or substantial understatement.
Second, it can understate the claim. That problem gets less attention, but it is just as expensive. Software often misses qualifying value hidden in direct support, technical supervision, redesign cycles, failed experimentation, engineering management time, and project facts that never show up cleanly in a payroll or ERP export. So the real fee comparison is not:

That is a completely different ROI calculation.
Why Software Alone Breaks Down
The IRS does not award the R&D credit because software generated a clean narrative. The IRS wants to know what the taxpayer’s people actually did.
IRS guidance on qualified research expenses focuses on human activity: employees engaging in qualified research, directly supervising it, or directly supporting it. It also warns that eligibility should not be based solely on job titles or descriptions, but on what employees actually did during the relevant period.
That matters because software does not interview your engineers. It does not pressure-test whether a project involved real technical uncertainty. It does not reliably distinguish routine production from experimentation. It does not know whether a first-line technical manager was directly supervising qualified research or merely overseeing operations. It does not know when an employee with a non-technical title was actually providing direct support to qualifying work. It can organize information. It can summarize what it is fed. But it cannot replace informed human inquiry.
And that is exactly where defensibility lives.
The IRS’s substantiation guidance says contemporaneous books and records should form the basis of the examination and lists items such as project authorizations, budgets, work orders, project summaries, progress reports, meeting minutes, notes, and field or lab verification data as relevant support. A report that looks polished but is not tied to real interviews, real records, and real project facts may create the appearance of compliance without the substance of it.
That is a dangerous place for a taxpayer to be.
The Rules Are Moving Toward More Detail, Not Less
This is not a good time to bet on black-box automation.
The December 2025 Instructions for Form 6765 state that Section G is optional for tax years beginning before 2026, but required for tax years beginning after 2025, subject to the applicable rules and exceptions. Those instructions also require, for many filers, reporting enough business component information to cover at least 80% of total QREs, up to 50 business components, in descending order by QREs.
That trend matters. It means the IRS is asking for more granularity, more traceability, and more connection between the claimed credit and the underlying work. Your internal research captures the implication well: the market is selling “illusion of compliance” and “illusion of speed,” while the filing environment is moving toward more detailed, human-centered substantiation.
In other words, the easier a vendor claims the process has become, the more careful a taxpayer should be.
A Cheap Study Can Become a Six-Figure Problem
Take a simple example.
Assume a company is sold a bargain R&D credit study for $12,000. The vendor promises speed, minimal disruption, and AI-generated project narratives. The final study produces a $220,000 federal credit.
That sounds great until the claim is examined and the IRS disallows half of it because the wage allocations were not well substantiated, the project narratives were generic, and part of the claimed work turns out to be routine production rather than qualified research.
Now the taxpayer may be looking at:
- repayment of $110,000 of credit,
- interest on the underpayment,
- possible 20% accuracy-related penalties on the disallowed portion, and
- professional fees and management time spent defending a weak study.
That “cheap” study can become a very expensive purchase.
Now look at the other side.
Suppose a human-led specialist study costs more, but the team conducts technical interviews, identifies weak areas before filing, tightens wage allocations, builds business-component support, and uncovers legitimate direct-support and supervisory wages the software never captured. The resulting claim may be more accurate, more defensible, and in some cases larger for the right reasons.
That is value.
That is ROI.
And that is why low cost is such a misleading benchmark in this space.
The Bigger the Company’s Complexity, the Worse the Shortcut Gets
This problem gets even more serious for acquisitive companies, multi-entity groups, and businesses with messy systems.
If your company has acquired other businesses, reorganized functions, moved projects across entities, or inherited inconsistent payroll and project-tracking practices, you are exactly the kind of taxpayer who should be most skeptical of a software-only study.
The IRS’s research credit computation guidance specifically notes that Section 41(f)(3) generally requires an adjustment to the base amount in the case of the acquisition or disposition of a major portion of a trade or business, and directs examiners to ascertain whether acquisitions or dispositions could affect the credit computation. The Form 6765 instructions also make clear that parts of the business component reporting framework are determined at the controlled-group level.
That means complexity is not a side issue. It is part of the claim.
A software platform does not independently understand:
- which entity actually bore the research cost,
- how inherited projects changed after an acquisition,
- whether technical uncertainty existed before or after the transaction,
- whether wage allocations changed when functions were integrated,
- how different legacy systems coded similar work differently, or
- whether a project that looks routine in one export was actually experimental in practice.
A real specialist asks those questions.
That is why complexity increases the value of human inquiry rather than reducing it.
The Best Study Is Not the Fastest One
The best study is the one that captures the full legitimate value of your people’s work and gives you the best chance of keeping it.
That requires more than software.
It requires people who know how to:
- distinguish routine work from qualified research,
- interview technical personnel the right way,
- tie wages to actual qualified services,
- build defensible business-component support,
- identify weak areas before they become audit problems,
- uncover valid QREs that generic tools miss, and
- support the claim with records the IRS actually cares about.
The IRS’s Research Credit Claims Audit Techniques Guide explicitly discusses the evaluation of prepackaged research credit claim studies and whether a claim is sufficiently prepared or may require disallowance. That is not the backdrop for a “just let the software do it” mentality. It is the backdrop for serious substantiation.
Low Cost Will Sometimes Get You a Report. It Will Not Always Get You Value.
That is the core issue.
Your company’s R&D value was not created by software. It was created by your engineers, designers, developers, technical managers, and supporting personnel doing difficult work under real uncertainty.
A credible study should protect that value.
A weak automated study can do the opposite. It can overstate it, understate it, commoditize it, or leave it exposed.
That is why the smartest taxpayers are not asking, “What is the cheapest way to get a credit study done?”
They are asking, “Who is most likely to help us capture the right credit, support it properly, and defend it if challenged?”
That is a much better question.
And it usually leads to a much better outcome.

The exposure is too real.
And the difference between a cheap study and a defensible one can easily be worth far more than the fee gap.
Low cost may buy speed.
